The Cleverest Ways to Use Dropbox That You’re Not Using

Free utility Dropbox is great at syncing files between computers, but it has a lot more potential than just that. Here’s a handful of clever ways you can use Dropbox that you may not have thought of.

If you haven’t read our first article on this subject, be sure to check out how to use Dropbox for more than just file syncing, where we covered using it to sync passwords across PCs, access portable applications from anywhere, or control your computer remotely. Let’s add to those ideas and walk through a number of interesting use cases for Dropbox.

Store Your Files in an Encrypted TrueCrypt Volume


If data security is a big concern for you, create an encrypted TrueCrypt volume and store it in your Dropbox folder so you can sync it to anywhere. You can take it a step further by storing the portable version of TrueCrypt in your Dropbox folder as well, to save time if you need to get into your encrypted volume from a PC that isn’t already hooked into Dropbox. Aren’t too familiar with TrueCrypt? Check out our beginner’s guide to get you started.

Once you’ve got your TrueCrypt volume up and running, you can install all of your portable applications, documents, and anything else you want to keep completely secure. You might be concerned about syncing such a large file between PCs, but since Dropbox only transfers the part of the file that has actually changed, there shouldn’t be too much bandwidth being used.

Use Shared Folders as a Cheap Network Drive for Remote Teams

Over at How-To Geek, since our team is geographically all over the map, we use Dropbox’s shared folders feature to simulate the type of shared network drive you might find in a corporate environment. We store all of our important files like business documents, artwork, and other files, in our shared folder-whenever any of us changes a file, the rest of us get the changed version in seconds.

The really great feature that sets Dropbox apart from the rest as a shared network drive for a team is the file revisions-whether a file gets accidentally deleted, or much more commonly, overwritten with a bad version, you can easily recover the older version of the file through the web interface.

Make Dropbox Your Actual “My Documents” Folder

One of the complaints many people have about Dropbox is that it’s actually a separate folder, and you have to remember to put your documents there in order to have them be synced, rather than just specifying particular folders to sync. Instead of remembering, you can actually change your My Documents folder to be the same as your Dropbox folder, or be in a folder inside your Dropbox.

To do so for Windows 7 or Vista, just right-click on your Documents folder, select Properties, and then on the Location tab you can specify the new file path, and click the Move button. The process is very similar in Windows XP, but you’ll need to change the Target value instead.

Create Your Own Customized Browser Start Page

Since Dropbox makes it easy to create publicly shared files accessible through a URL, you can create your own customized start page for your browser, complete with bookmarks and anything else your HTML skills and imagination can come up with. This can be especially useful for your mobile device, where start pages aren’t always tailored to what you might really want. Just create the HTML file, store it in your Public folder, and then grab the public URL from the Dropbox context menu to set as your start page.

If your HTML skills are lacking, you can check out this tutorial from reader elasticthreads, who has a custom search page using the web-command-line service YubNub to make quick work of searching from your mobile device using a number of services, like Google Images, Maps, or Amazon.

Start Your Torrents from Any Computer


Rather than wait until you get back home to start a download, why not start them remotely from anywhere? All you have to do is set your torrent client to monitor a folder in your Dropbox, and then add the torrent files to the folder remotely-you can even upload them through the web interface if you want. Most of the popular torrent clients, like uTorrent, support this feature, and while there are other ways to remotely start a download, this is certainly one of the easiest.

Take Useful Information With You

Since you can easily sync your data to your iPhone, or access files through the mobile web interface, you can keep your collection of PDF books or other files in your Dropbox folder. You can use this to turn your iPhone, iPad, or other mobile device into an eBook reader from anywhere.

Reader @joeattardi has an even more clever use: he downloads PDF files from restaurants with nutrition facts, so he can get informed nutrition data while he’s on the go. The same technique could be used for all sorts of helpful information—quick shortcut guides, useful fact sheets, or anything else you can imagine and might need while you’re away from your PC.

Sync Your Music, Access from Anywhere, or Share With Friends

Having access to your music collection from anywhere is always a favorite technique for any web-based sync system, and Dropbox is no slouch in that department. You can put your entire music collection in your Dropbox folder and keep it in sync between all of your PCs, as well as listen through the web interface.

If you’re an iTunes user, moving your library to your Dropbox folder is easy-first, make sure iTunes is closed, then move your iTunes music folder into your Dropbox folder. Then just hold down the Shift key (or Option for Macs) while you open iTunes, and you’ll be presented with a prompt to choose which iTunes library to use, so choose the folder from the new location.

On the secondary PC, you can just use the Shift key trick to choose the folder from the new location in your Dropbox.

Once all your music is over on your Dropbox, you can access it through the web interface from any web browser, including your iPhone or some other web-connected devices. It might not be the perfect web-based music interface, but it’s certainly functional enough to use.

Might mention the LAN option they added a while back. I did not see it right away, might have missed the announcement.

Really speeds up sync when both systems happen to be on the same LAN.

Dropbox is a really great service. Aside from backing up my Music collection (too big for the free 2gb dropbox offers) I don’t use my external hdd for anything anymore. Anything important I just drop right into Dropbox.

Dropbox is the best when you have a desktop and laptop and want to sync files. Makes life so much easier. Reply

As we want you guys on the remix we put it out to a general vote for which track of the many releases to date you guys would like to remix and it was unanimous.     Thoughts on "Being The Lighthouse" From The Top of The Empire State Building...

    This is where Noel asked me to marry him in 1999…and today we are here with our 5 yr. old Son, Beau. How’s that for a Love Story “Full Circle”  - Sounds perfect, right? It sure does. But, you know what? A lot of the things we do are perfect, but we are far from perfect. No one is truly the “perfect” ideal.  We have the same goofy problems as everyone else. You know why? It’s because of that word “perfect” is so attractive to us and so many of us get caught stuck in a place where too much emphasis is on everything being perfect - and that leads to a lot of disappointments. Especially since every person’s “perfect ” is different based our own perception that is skewed by our own tastes, inclinations and [ooh scary!] our upbringing. Now that I am at the ripe old age of “<beep>” I have learned that my perfect is not your perfect and your perfect is not my perfect and her perfect is not his perfect, etc.

    Once we stop expecting each other to be perfect, the next thing is to also realize that “things” are not perfect either…and not everyone’s lives are perfect — and…not every relationship is perfect - or even forever. I speak to a lot to friends about their relationships and I find that most beat themselves up or carry around the weight of “The End” of a relationship. I read once that we need to honor and learn from the end of a relationship as the experience and/or lesson was just as important as the relationship - and could actually be the WHY of the relationship itself. I thought that was such a beautiful way of looking at it because it added an element of destiny as opposed to the traditional stigma of a failed relationship. I had to that once. I held on to relationship too long once because I thought I was supposed to — even though I felt like I was living someone else’s version of a “perfect life”  - because I had chosen it. The day I realized it was okay to move on and released it, I began to live my life…and so did he. 

    Every end is a beginning…but we have to take responsibility and learn from it. 

    I’ve always had one lesson that pops up in this lifetime…and I’m sure it’s really the same for everyone. I first heard it relayed in 1996 via a client’s (now a friend / @lindatoupin on twitter) training message to her team:

    “Focus on being YOUR best. When you worry about someone else in your life who is not being their best and you try to fix or change them, it doesn’t work. You only succeed in frustrating them and frustrating yourself. What you need to do is focus on being the best YOU can be, and live your own life as an example. Plus - and this is so simple, it’s deep - being and doing your best is THE only thing you can truly control. Period.”

    She used the term “Be the Lighthouse” to describe that place where you just do your thing, no matter what the “conditions” are around you. 

    So…full circle. It means a lot of things - again this is where anyone of our own perceptions would cause us to see all of this differently — and I guess if we were simply being literal - “full circle” in an actual circle means your are back to the place where you started drawing the circle, and you are done drawing it. It’s what you decide to do next that’s important.

    Representing Freedom, Fabulousness & Justice For All....

    After posing me in the crown & wrapping lil Beau in the American Flag + Daddy Noel w/ Camera to eye about to shoot it, the “Statue” says, “FIVE DOLLARS!”

    Really? Because I’ve been standing here watching you and the other statue to your left…and the other statue to your right…..hamming it up - even posing for me w/ the very a-typical flirty “call me” for my camera to be funny…and I didn’t notice anyone paying them…which I did think was interesting…but thought perhaps they were employed by the park somehow to entertain guests in the long line fo the ferry..

    Well…yes…That was a surprise — Especially to Noel who wasn’t too keen on that shot in the first place because he’d just been standing in a way too long hot dog line watching the vendor purposefully overcharging everyone in front of him and acting like he was having math/addition challenges IF the customers happened to notice the error. So, now over it - Noel drops the camera down, scowls a bit, then he barks “Do you really want to pay?????”

    Let’s pause here. Would that (Is this fun thing worth $5?) question have been asked if we were newly dating - or I was a client - or even a friend of a friend?  I don’t think so…

    How many of us remember when $5 was swiftly handed over without hesitation and a smile when a street vendor walked up to you and that special someone on a 1st date with the flower bucket of limp roses? 

    Now we’re deciding if a picture of me and the cutest kid in the world - who is on his 1st trip to NYC - is draped in the american flag, holding a torch, standing next to mommy wearing a crown and a goofy moving statue worth $5.

    Yes. Yes it is. :) 

    I think the good advice here is, “Never lose sight sight of the beautiful tree(s) in front of you, because you are overwhelmed by all that has to be done in the forest.”

    I smiled thru the moment of could-be uncomfortableness (that is - if you care about what other people are thinking about you) and I said in my nicest ”Mommy-wins-this-one-by direct-overrule” voice. “I’ll pay.” and we are right back to the the fabulous posing and living large in small moments.

    NOTE: I had 3 statues to choose from that I had been observing while in line. I chose this Statue because he seemed to be the one that was enjoying himself the most and taking pride in being the best crowd pleaser, hence his $5 self-valuation.    If you don’t enjoy your life while you’re living it, no one around you will enjoy your life either. :)
